The paperwork for each job

For each job, keep:

  • The quote, and the customer's go-ahead for the work.
  • The job sheet, with what was done and the parts fitted.
  • The invoice.
  • For a job agreed with a consumer at their home, by phone or online, any cancellation information consumer law requires.
  • A record of the car's condition when you collected it and when you returned it.

KeySigned makes the last of these. Quotes, job sheets and invoices stay in whatever you use for them now.

At collection

Walk round the car with the customer at their door, before you drive it away. Record:

  • The registration, the mileage, and the fuel or charge.
  • The keys, and what is in the car: the V5C if it is there, the locking wheel nut, the spare or repair kit, and any charging cable.
  • Every panel, the wheels and tyres, the glass and the lights.
  • Each existing mark, with a close-up. If there is nothing to note, record "No visible damage".

Then both sign, there at the door. No signal is needed.

At return

Make the return record on the same iPhone, against the collection record. KeySigned sets the return photos beside the collection ones, angle by angle. For each one you record, with your customer, whether there is no visible change, existing condition or a new concern. A view you can't compare needs a reason, and a new concern needs a damage mark in that area, with a close-up or a reason, before the record can be signed.

KeySigned lines up the photos, and every decision is yours. The return record carries the collection record's fingerprint, so the two stay linked inside the seal.

How it works

  1. The walk-round

    You and your customer walk round the car together. KeySigned guides you to eight photos, one from each angle, and checks each for focus, light and framing. You mark any existing damage on the photos of that car and add a close-up.

  2. Two signatures

    You sign, then hand the iPhone to your customer, who signs the same version of the record. Any change after signing needs fresh signatures from you both.

  3. The seal

    KeySigned seals the record with a key held on your iPhone. Any later change to a photo, mark or signature shows when the record is checked. Your customer gets the record page and the .zip evidence pack, and checks the .zip in an up-to-date browser at keysigned.app/verify. Records stay on your iPhone and aren't backed up, so export the ones you need.

Handovers in progress
Without an active plan, you can still finish, sign and seal a handover within 48 hours of starting it. After that, it needs a plan to sign and seal, and it waits on your iPhone until then.
Return legs
The return leg of a car you've already collected is never charged.
Your records
Records you've already sealed stay readable, checkable and exportable whatever happens to your plan.

Questions

Does the customer need to be there?

Yes, at collection and at return. Your customer signs each record in person on your iPhone. A record needs both signatures, so a key drop with nobody there isn't covered.

Do I need a signal on a driveway?

No. Capture, signing and sealing all run on the iPhone. You need a connection to send your customer their copy (AirDrop works without one) and for the address suggestion, which you can type instead.

What does my customer receive?

The record page and the .zip evidence pack, by WhatsApp, email, iMessage or AirDrop. The signed PDF is inside the pack, and you can send it on its own too. With the evidence pack they can check the record in an up-to-date browser, with no account and nothing uploaded.

Does it replace my job sheet or invoice?

No. KeySigned records the car's condition at collection and at return. Keep your quotes, job sheets and invoices where you keep them now.
