Car handover form
Car handover form: on paper, or on your iPhone
A car handover form records the car's condition, mileage, fuel or charge and keys as it changes hands, and you both sign it. Print ours free, with no sign-up. Once KeySigned is on the App Store (coming soon), you can do it on your iPhone: the photos, the damage marks and both signatures go into one record, sealed so any later change shows.

The free forms
For businesses that take in or hand over customers' cars: detailing and paint protection studios, mobile mechanics, garages and car sales. It isn't a company car form for staff, or a change of keeper.
The car outline on the forms is an illustration.
Each one is free to download and print, with no sign-up. How to fill one in well is on our vehicle condition report template page.
What a good handover form records
- Your business and the customer's details.
- The registration, make, model and colour.
- The date, the mileage, the fuel or charge and the keys, at both ends of the job.
- Every existing mark on a car outline, with what it is: a scratch, dent, chip, kerbed wheel or previous repair.
- The wheels and tyres, glass, lights and interior.
- How many photos you took.
- Both signatures, when the car is taken in and again when it is handed back.
Paper is a good start
It costs a sheet of paper, needs no phone and works anywhere, and your customer signs in ink.
Where paper stops
A folder of photos or a paper sheet can't show, on its own, which version was signed. A KeySigned pack can, as long as your customer has a copy.
KeySigned keeps the photos, the damage marks, the readings and both signatures in one record. Once you've both signed, it's sealed: change one photo or one mileage figure later and the seal breaks.
Paper form or KeySigned
| What it covers | Paper form | KeySigned |
|---|---|---|
| Your customer signs | In ink, on the sheet | On your iPhone, both of you, on the same version of the record |
| Photos | Separate, unless you attach prints | Eight checked photos inside the record, with the damage marked on them |
| Shows which version was signed | Not on its own | Yes: change a photo, mark or reading later and the seal breaks |
| Your customer's copy | If you give them one, or a photo of the sheet | The record page and the .zip evidence pack, by WhatsApp, email, iMessage or AirDrop |
| Checking it later | Your customer compares their copy by eye | With the evidence pack, in an up-to-date browser at keysigned.app/verify. Nothing is uploaded |
| When the car comes back | A second column on the same sheet (ours has one) | Return photos side by side with the collection ones, and the return record carries the collection's fingerprint |
| No signal | Works anywhere | Works with no signal. Sending the copy needs a connection, except by AirDrop |
| Where it's kept | Wherever you file it | On your iPhone until you export it. It isn't backed up |
| Cost | Printing | From launch: £14.99 a month or £119.99 a year, VAT included, however many handovers you record. Two-week free trial for new subscribers, then it renews until you cancel |
| What you need | A pen | An iPhone that supports ARKit, with iOS 17 or later |
The iPhone way
- Your customer checks it themselvesSend your customer the evidence pack and they can check the record in an up-to-date browser. Nothing is uploaded and they don't need an account.
- Any later change showsOnce you've both signed, every photo, mark and reading is fingerprinted and sealed with a key held on your iPhone. Change one pixel or one mileage figure later and the seal breaks.
- Both of you sign the same versionIt locks only when both signatures are on the current version of the record, so you can't lock it with only your own.
- Damage on the photos of that carTap damage on the photos of that actual car, not a generic diagram, and add a close-up.
- Eight checked photosOne quality-checked photo from each of eight angles. It tells you when a shot is too dark, blurred or blocked.
- Out and back, side by sideWhen the car comes back, the return photos line up with the collection ones, side by side. The return leg of a car you've already collected is never charged.
- Your business on every reportAdd your business name and number once and it heads every report your customers get.
- Works with no signalCapture, damage marks, signatures, locking and sealing all work on the iPhone with no connection.
How it works
Demonstration record, shortened. The car and some screens are illustrations.
The walk-round
You and your customer walk round the car together. KeySigned guides you to eight photos, one from each angle, and checks each for focus, light and framing. You mark any existing damage on the photos of that car and add a close-up.
Two signatures
You sign, then hand the iPhone to your customer, who signs the same version of the record. Any change after signing needs fresh signatures from you both.
The seal
KeySigned seals the record with a key held on your iPhone. Any later change to a photo, mark or signature shows when the record is checked. Your customer gets the record page and the .zip evidence pack, and checks the .zip in an up-to-date browser at keysigned.app/verify. Records stay on your iPhone and aren't backed up, so export the ones you need.
Each opens the checker with a demonstration record. Nothing is uploaded.
Selling a car?
You and the buyer sign a sealed delivery record at handover, with the car's condition, the keys and everything you hand over. It's a delivery record, not a receipt or a contract of sale, and it does not limit the buyer's consumer rights. Our used car handover checklist sets out what to record.
What KeySigned isn't
- It's iPhone only: an iPhone that supports ARKit, with iOS 17 or later. Paper needs nothing but a pen.
- You both need to be there. A record needs both signatures, so a key drop with nobody there isn't covered.
- Records stay on your iPhone and aren't backed up, so export the ones you need.
- A sealed record is tamper evidence: it shows a later change, but it can't stop one.
- The time comes from the phone's clock, and the seal doesn't identify who signed. That's why you both sign in person.

- Your records
- Records you've already sealed stay readable, checkable and exportable whatever happens to your plan.
Questions
Is the form free?
Yes. Download it and print as many copies as you need. There is no sign-up.
Can I use the paper form and the app together?
Yes. Once KeySigned is on the App Store, keep paper for the jobs that suit it and use KeySigned for the rest. A KeySigned record holds its own photos, marks and signatures, so it doesn't depend on a paper sheet.
What does my customer get from the app?
The record page and the .zip evidence pack, by WhatsApp, email, iMessage or AirDrop. The signed PDF is inside the pack, and you can send it on its own too. With the evidence pack they can check the record in an up-to-date browser, with no account and nothing uploaded.
Does it work with no signal?
Yes. Capture, signing and sealing all run on the iPhone. You need a connection to send your customer their copy (AirDrop works without one) and for the address suggestion, which you can type instead.
What if my customer won't sign?
Then the record cannot lock: it needs both signatures on the same version.
